We currently have an opportunity available for a Administrative Assistant-Safety. Reporting to the Director of Safety, this position is responsible for performing the duties and responsibilities which include, but are not limited to, the following:

Duties and Responsibilities:

Sunwest Aviation has an opportunity available for an Administrative Assistant within our Safety department.  Reporting to the Director of Safety this position is responsible for performing the duties and responsibilities which include, but are not limited to, the following:

  • Support the Director of Safety by performing administrative, clerical and office duties.
  • Maintains records demonstrating compliance and assists with responding to inquiries from official agencies as needed.
  • Maintains databases and administrative documents to satisfy regulatory agencies requirements.
  • Works independently to perform advanced, diversified and complex administrative duties, including preparation of a variety of correspondence, documentation, reports, minutes of meetings, presentation material; coordinate meetings, prepare expense reports, and maintain online client safety assurance platforms (like ISN for example).
  • Develop and maintain filing systems according to best practices
  • Organize, coordinate and manage all day-to-day administrative issues
  • Anticipate workflow, prioritize and follow through on tasks to completion
  • Improves quality results by researching, re-designing and assisting in implementing changes
  • Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
  • Plan, organize and execute administrative projects in an efficient and timely manner
  • Establish and maintain effective working relationships with management, staff and customers and vendors, both internal and external.
  • Handle correspondence as directed, including composition and disposition of letters and memos. Ensure confidentiality of all documents, messages and telephone calls according to established processes, procedures, and policies.
  • Oversee and ensure efficient and effective office procedures and work flow.

The successful candidate should possess the following qualifications and competencies. In addition personality profiling will be required of all candidates granted an interview for this position.

Qualifications, Experience and Competencies:

  • Post-secondary education in Business Administration, Office Administration or equivalent is an asset.
  • Occupational Health and Safety Experience
  • Demonstrates the ability to work with a variety of staff throughout Sunwest.
  • Strong organization, task planning, and prioritization skills
  • Superior ability to multi-task
  • Demonstrated ability to work with highly confidential and sensitive employee and business information
  • Ability to exercise a high degree of initiative, independent judgment, and ability to act decisively
  • Personable with solid interpersonal skills
  • Extraordinary attention to detail; ability to proofread and format documents and presentations
  • Ability to work in a collaborative manner and lead by example
  • Excellent verbal and written communication skills
  • Must demonstrate exceptional communication skills by conveying necessary information accurately, listening effectively and asking questions where clarification is needed
  • Must be able to work independently, prioritize work activities and use time efficiently
  • Must be able to maintain confidentiality
  • Must be able to stay focused and concentrate under normal or heavy distractions
  • Must be able to work well under pressure and or stressful conditions
  • Must possess the ability to manage change, delays, or unexpected events appropriately
